What we collect
If you join Roamer on this website: your first name, email address and, where present, how you found us (the signup source in the page link). We also keep records needed to manage your subscription, such as when you consented and whether you've unsubscribed.
If you take the Independent Travel Survey: your answers. These cover how you like to travel, what makes travel harder or easier, hotels and places you recommend, where and when you'd like to go, your usual budget, where you live or travel from, and, if you choose to tell us, the age ranges of children you travel with and your own age range. Every question is optional. Please don't include anything in your answers you'd rather we didn't know, such as health details.
If you choose to give them in the survey:
- your first name and email address, if you ask to become a Founding Roamer;
- your first name and email address, if you agree to a short chat with us or say we can quote you;
- your permission to quote what you wrote, and how you'd like to be named.
When you visit the website: our hosting provider may process technical information such as IP address, browser type and request logs, to deliver the site and keep it secure.
Why we use it and our lawful basis
- Email updates (website or survey sign-up): with your consent, we use your first name and email address to send Roamer guides and member updates. You can withdraw consent at any time with the unsubscribe link in any email, or by contacting us.
- Survey answers: we use them to understand what independent travellers want, decide which places and hotels to feature, and shape Roamer. Taking part is voluntary, and we rely on your consent, which you give by choosing to submit the survey.
- Quotes and follow-up chats: only if you say yes in the survey, and only in the way you chose (for example, first name and town, or anonymously). We only quote what you actually wrote.
- Signup source: to understand which channels bring people to Roamer.
- Website security and technical logs: our legitimate interests in running a safe, reliable website.
Withdrawing consent doesn't affect anything we did lawfully before you withdrew it.
Email marketing
We only send marketing emails where we have your permission under UK privacy and electronic marketing rules. Every email includes a way to unsubscribe.
Who processes your data for us
- Google (Google Forms and Google Sheets): collects and stores survey answers.
- Kit (formerly ConvertKit): manages our email list and sends emails.
- Netlify: hosts this website.
- ImprovMX: forwards emails sent to our joinroamer.com addresses.
These providers act on our instructions under their data-protection terms. We do not sell your personal information. Some of these providers are based in, or store data in, the United States. Where personal information leaves the UK, we rely on the safeguards UK law requires, such as UK adequacy regulations or approved contract terms.
What hotels see
If we share information with hotels or partners, we share totals and trends only, such as "120 members want Lisbon in May". Never names, email addresses or individual survey answers, and never groups so small that someone could be identified.
How long we keep information
- Email list: while you stay subscribed. When you unsubscribe, we remove you from our active list within 30 days, apart from the minimum record needed to respect your opt-out.
- Survey answers: for up to 24 months after the survey closes, then we delete them or make them fully anonymous. Contact details you gave only for a chat are deleted once the chat has happened or within 12 months.
- Quotes you agreed to: for as long as we use them, and you can ask us to remove one at any time.
Our providers' backups may follow their own deletion schedules.
Your rights
Under UK data protection law, you can ask to access, correct or delete your personal information, restrict or object to how we use it, or receive a copy in a portable format. You can also withdraw consent at any time. To make a request, email hello@joinroamer.com.
You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk. We'd welcome the chance to sort out any concern first.
Who can take part
Roamer and the survey are for adults aged 18 and over.
